4/12/26 maintenance minutes

Action Items:

            

     -Coleman can find out what lightbulbs they take

    -Cheryl will buy replacement bulbs

    -Cheryl will ask Joe about replacing the bulbs

     -Cheryl will get together with Laraine and pass along the info she'll need to get bids on this project
    -Coleman will put up a short summary of this project and add it to the wiki with pictures. 
    -Michael will contact the companies that gave us quotes and start thisthe projectcrack ceiling projects

  -Cheryl will reach out to Chris with Roof Doctor to get caulking around swamp coolers and around decks 

 -cheryl and Michael will finish audit of community fascia

 -Kellie: will reach out to Kerry and Starla about linseed oiling.

 -Cheryl: will reach out to Chris from Roof Doctor to walk through community and evaluate the extent of how bad the fascia is and give recommendations. Will also ask Roof Doctor if they will paint as well.

Review of discord maintenance threads to see what projects are completed and what needs follow up:


Ceiling Fan
   Ben has gathered 2 quotes, need to hear from Ben if more quotes are needed or is the project ready to be started? Understanding is Ben would be shepherding this project since he's been in contact with the companies giving a quote, need to double check 

-Some threads (site map, sewer lines and scoping with unit 23 scoping report) 

 

West side lots carports:

  -Coleman can find out what lightbulbs they take

-Cheryl will buy replacement bulbs

Unit 19 drainage:

  -Laraine has volunteered, she just needs the low down on what questions to ask

-Cheryl will get together with Laraine and pass along the info she'll need to get bids on this project

 

Unit 1&2:

   Coleman needs to coordinate with Laura to install the storm door, then the last invoice will be sent and this project can be closed.

Coleman will put up a short summary of this project and add it to the wiki with pictures. 

Unit 15 door jamb:

   Completed!

Fascia

   cheryl and Michael will finish audit of community fascia

Walkway leveling

   Talked to Tim with Top Dog, confirmed a quote for $15,000 total. 
    This is a reserve analysis expense, can split it up into 3 parts as $5000/year in 2026, 27, and 28
    Cheryl: Can talk to walkway leveling

Stucco

  Completed walkthrough and evaluated stucco last month, found that the building with units 22/24/26 are the worst from what we could see.  Decided to start with building that has 22/24/26 as it has the worst stucco issues. 

   Coleman: will contact TJ construction to get going on this project

Parking lot crack ceiling

   companies recommended we seal the cracks in the asphalt this year. 

    Michael will contact the companies that gave us quotes and start this project


Gutter cleaning

Looks like elm seeds have mostly dropped. Every weekend in May and beginning of June has some conflict, decided to schedule the cleaning for Saturday and Sunday May 23/24th. Coleman is okay with continuing to evaluate roofs while he's up there. 

Screws around swamp coolers

  Some issues with screws that hold in the swamp coolers Have roof doctor come out and look at screws on swamp coolers. Also have him inspect and evaluate if caulking is needed around wall cap screws on decks at the same time.

Cheryl will reach out to Chris with Roof Doctor to get this scheduled


Roof Decks

  Need to clean all the roof decks this year. Always difficult because this is unit owner responsibility, but it is essential this gets done. Decided we will help with reaching out to unit owners and reminding them to clean their decks. 

Linseed oiling

    Kerry has done this in the past and Starla has offered to take this on.

     Kellie: will reach out to Kerry and Starla about linseed oiling.

Fascia 

  Cheryl and Michael did a walk through of approximately half the community. Identified three tiers of urgency:

   -Worst: Intense wood rot, requires bent aluminum, Medium bad: Replacement of wood and paint, Least bad: Paint wood 

   -Some discussion of whether we should split up the fascia by building or units that face a certain direction. Decided for record keeping and tracking, do everything at once.
