Election

We are electing three positions. Ben and Kay are at the end of  two-years terms. Cheryl had a one-year term completing the term of someone who resigned. Scott and Coleen are continuing. Coleen will stay on Management until May, at which point Management will select a replacement.

Linda reviewed the process for the Management Committee election.  One vote per unit; units with more than one person should discuss and either combine their selections or do half votes.  We use sociocratic nominating rounds: 1) Nominations, 2) attributes, or traits that will serve Management and how nominees display them, 3) ask for acceptance or decline of nominations, and 4) vote. Paper ballots for attendees; online attendees text their choices to Lynda.

Budget

If a committee decides they need more money than their budget, they may ask Management for permission to go over their budget by a specified amount -- but ask before going overbudget!

For the past five years we’ve been funding the reserve according to the 2017 reserve analysis.  The new reserve analysis (not yet finalized) points to a need for higher funding.

The increase in fees is effective as of February.  The bookkeeper will adjust auto-payments, so people who have those don’t need to worry about it.

There is one change in the budget proposal since the last discussion; all committee budgets are reduced rather than zeroing out one.

Beth expressed concern about the lack of funding for children’s infrastructure.  Response: The c.h. play structure will probably be funded from the reserve, which doesn't show in the operating budget.  Still need more information.  It’s a high priority for Management and for the Parents Committee. 

Marina would like  discussions on how other communities plan their budgets, particularly funding projects.

North Garden is listed in the budget under committees. There is disagreement about its status. Future discussion is needed to clarify its status and the difference between clubs and committees.

Tree Committee got less substantially less than requested.  it’s been a few years since the last analysis of the trees, so to re-evaluate them again.  Management granted permission for tree planting to roll over their $1K 2022 budget.  It isn’t part of the 2023 budget, so it doesn’t appear in this budget proposal.

Approved by Consensus.  Stand-asides:  Marina and Lauren.  Marina won’t block it but would like to look at models for how funding is done and adopt best practices, look at issues that are contentious and find ways to resolve them.  Lauren would like as much money given for the dog run as it needs, the east garden charged for their water, no money used on private property, east garden is a club but north garden is a committee.  Mary wished to respond to what she felt was a misrepresentation and was prevented, and left the meeting.

Committee Reports

Underutilized Spaces is disposing of several TVs that appeared in the common house.  Got the curtain back up in front of the sitting room storage alcove.

Celebrations has a tentative schedule of activities for the next several months. They would appreciate further suggestions.  A request was made for more info on what activities are kid-appropriate. Response:  Very few community activities aren’t kid-appropriate, and anything that is not will be made clear.

Maintenance:  Costco should be here to install the new fridge tomorrow between 7 and 9 a,m..  Vinnie & Linda will supervise them. Eliza will clean the alcove tonight.

Welcoming.  Social Media 101 January 24 12 to 1 MST Zoom, free for us as partners.  Using social media to attract new members.

Management will be contacting people to ensure the lockbox has up-to-date keys.

Maintenance will meet Saturday after cafe.

Recycling.  Cheryl got clarification from Ace.  Can put plastics 1 through 7 in the blue reycling bins but no thin film like plastic bags. Ace’s website gives inaccurate obsolete info on their policy. If something put in the bin isn’t recyclable, it doesn't spoil the whole load.  SLC has a new recycling facility since 2020, which is where all the recycling companies take their loads.

Announcements

Plaque for Naomi’s bench, now on common house porch, should be arriving soon.

Linda will be teaching “Turning Conflict into Collaboration”. Starting January 18, 3:30 to 5:00 for six weeks.  Attendees must be a member of Osher, age 50 or better.   Linda would like to hold a practice session Saturday 4:00 p.m. in the dining room.

Conflict Management would like to ask Linda if she would give the course for the community.

The Sundance Film Festival is coming up.  Vicky is looking for tickets.
