Maintenance Meeting Minutes : March 10, 2025
Follow up on units 1, 2, 15, 17
- Received one bid from Coleman and business partner Eric to fix issues specific to unit 1 and 15 causing water damage to units 1 and 17.
- Recommendation: Need to extend the downspout so water drains way far away from the foundation.
- Meeting attendees requested that more bids to be obtained to follow the "large spend process". Cheryl to follow up.
Some unit owners have been amenable to taking on tasks outside of a work party. Do we have a list of "one off" tasks that need to be done?
Cheryl called Superior Rain Gutter (contact: Dillon) to get warranty work for units 5, 26, and 18 where gutters are not angled correctly/not draining. Dillon to come out on Friday 3/14 at 10 am
- Stephen sent email to community 3/10/25 asking everyone to check drainage of gutters this weekend when storms come. If there are additional units noticing similar issues, please let us know and we can communicate this to Superior.
- We asked Superior if they can check all gutters when they come out for warranty work. Answer: No. That would take most of a day. We just need to communicate with them when we see issues.
Projects for community members to take on:
- Check/change furnace filters
- Clean external CH vents
- dumpster enclosure needs to be repaired
- clean/declog gutters and downspouts on CH
- door sweeps with brushes need to be added to front door and south 2 doors
- steel wool in holes in the beams as wasp prevention WORK PARTY SOON - JORGE AND ROBIN TO BUY STEEL WOOL
- window leak in CH. Need to caulk around windows. up high in the clerestory. Do we need to hire this out? See if Coleman can do it.
Roof Doctor sent pics of all units worked on. Pics are mislabeled. We need to know which units....and what was done? Roof doctor actually replaced shingles. Invoice shows this level of detail.
F/U question and issue: Where are we going to store these invoices and pictures? Invoice does not give detail we need? Just need correct labeling of details.
Alex said that the gutter in the SW corner of Common House leaks pretty bad - moisture build up noticeable on stucco. Leak appears to be coming from curved elbow of downspout; need to check for clogs. Maintenance team needs to investigate. Kellie to reach out to folks to see
Stephen noticed some clogged downspouts during recent gutter cleaning work party. We'll address when temps warm up a little. jorge and stephen to take this on.
Lights on the path don't work. 5 lights out - is it a timer issue? We don't know where the light timer is. Can Kay or Mike Wason help out? Kellie will also see if the old bulbs in the CH can be used to change out bulbs. Robin: it's a pain to change the bulbs so....let's just get bulbs that will last.
Light that blinks on west berm. We'll replace bulb and see if that fixes it. IF not, we'll bring in an electrician.
Overhang light in the carports. Take cage out (2 screws out) then clean out cage. Mini work party: 2 people on each carport. MARCH INITIATIVE. SHOP VAC, LADDER,
Project Management Initiative moves to ACM. Sunday March 23rd is first. Key representative from CH, LS, Maint, (anything else?) to talk about next 3 months, what needs to be done, planning. Come armed with date ranges. Fundraising will also need to have their dates on the calendar.
June 14-15 or 7-8 for gutter cleaning WORK PARTY.
