Maintenance Minutes : March 10, 2025

WORK PARTY - THIS WEEKEND SATURDAY MARCH 15
Wasp prevention:  Insert steel wool in holes of all wooden beams and posts of Common House.  Work party will begin at 10:30 am-ish on Saturday.  Jorge and Robin volunteered to buy the steel wool.  Anyone participating should wear gloves and eye protection.  We know this kind of came out of nowhere but with the temperatures warming up now is the time.  It will be colder this weekend so low risk of angry wasps coming after us as we stick steel wool in their "summer homes".
Follow up on water damage repair plans for Units 1, 2, 15, 17
  • Received one bid from Coleman and business partner Eric (company name: Granularity) to fix issues specific to unit 1 and 15 causing water damage to units 1 and 17.
    • Some have expressed concerns that foundation settling is part of the problem.  They said this is possible that settling has occurred but after 25 years has likely settled as much as it's going to. 
    • They did recommend that we extend the downspout so rain water drains way far away from the foundation since that could contribute to further foundation issues.  <<< WORK PARTY OPPORTUNITY
    • Bid accounts for (a) demo of unit 2 to remove damaged drywall, which will allow for further diagnostics of cause(s) of water damage (b) unit 2 drywall repair and (c) repair of door jamb and threshold on unit 1 (d) installation of metal flashing in tight corner of deck, which is suspected to be a source of water infiltration on Unit 1 deck (and potentially all decks, since they all have the same design) (e) similar work on units 15/17 but not as much drywall repair is needed on Unit 17
  • Meeting attendees requested that more bids to be obtained to follow the "large spend process".  Cheryl to follow up.
Warranty Work Scheduled - Gutters
Cheryl called Superior Rain Gutter (contact: Dillon) to get warranty work for units 5, 26, 18, and 20 where gutters are not angled correctly/not draining.  Dillon @ Superior to come out on Friday 3/14 at 10 am
  • Stephen sent email to community 3/10/25 asking everyone to check drainage of gutters this weekend when storms come.  If there are additional units noticing similar issues, please let us know and we can communicate this to Superior.
  • We asked Superior if they can check all gutters when they come out for warranty work.  Answer: No.  That would take most of a day.  We just need to communicate with them when we see issues.
Recap of work recently completed
  • Faucet was recently replaced in downstairs bathroom
  • Roof Doctor came out on 3/3 and did the following work:
    • Units 20 and 26: New deck wall caps installed
    • Unit 11: Warranty work on roof membrane
    • Community-wide inspection and repair of all shingles damaged by removal of gutter guards when gutters were replaced last fall.
      • Roof Doctor sent pics of all units worked on but pictures are mislabeled (all pictures refer to Unit 20) so we don't really know where the repairs occurred.  Stephen to follow up with Roof Doctor to see if this can be corrected.
    • Follow up question/issue for Maintenance and Management Teams:  Where are we going to store these invoices and pictures? We need to determine the best place to archive all invoices and supporting artifacts (e.g. pictures).
Small-ish jobs to be done around the Coho 
Some folks in the community are amenable to taking on tasks outside of a work party and have requested a list of things that need to be done. This is a list of tasks that can be done by small groups of people (2-3):
  •  External dryer vents need to be cleaned/vacuumed out every 30 days.  According to maintenance tracker this was last done 2/2/25.  
  • Common House clothes washer drain filters need to be cleaned.  To my knowledge these have never been cleaned.
  • Check/change furnace filters in Common House and in Workshop 
  • East lot dumpster enclosure needs to be repaired
  • Door sweeps with brushes need to be added to front door and south 2 doors of Common House to help prevent bugs and pests from entering
  • Clean/unclog gutters and downspouts on Common House
    • Alex said that the gutter in the SW corner of Common House leaks pretty bad - moisture build up noticeable on stucco.  Leak appears to be coming from curved elbow of downspout; need to check for clogs.  
    • Stephen noticed some clogged downspouts during recent gutter cleaning work party.  We'll address when temps warm up a little.  
    • Jorge and Stephen to take this on (guys...please let us know if you need help!)
  • We're due for the biennial linseed oiling of beams and posts.  Not all units will need a treatment but inspection should be done, and linseed should be applied where needed.  If anyone wants to take this on, let's get a good assessment of what units actually need it - some are shaded enough that they don't need this done as frequently.
  • Clean out light cages and light bulbs in carport (this will help add light to the parking lot).  Tools needed:  Ladder, shop vac, bucket of water with rag and towel to wash cage and bulbs (?).  Easy but tedious work - remove 2 screws to remove cage, clean cage and bulb.  Lather, rinse and repeat.    
  • Please let the maintenance team know if you complete any of these tasks so we can keep our records up to date! Thanks.
Maintenance jobs we need to hire out
  • Window leak in Common House clerestory (west side) - needs to be caulked.  Because of height this is not something we can take on as DIY.  Need to caulk around windows.  
    • Cheryl to reach out to Coleman to see if this is work he wants to take on.  If not, will reach out to Brooks...but need to confirm he's insured/bonded.
    • We have scaffolding we can bring out for the person who does this.
Other items being researched
Several lights on the path don't work. 
  • Kellie to reach out to Kay and Mike W to see how to reset timer
  • Kellie proposed changing bulbs out with "old bulbs in the Common House" (age unknown).  Robin proposed that we buy/use new bulbs, given the level of effort to change these.  Let's use bulbs that we know will last a while.
  • There's a light that blinks on west berm.  We'll replace bulb and see if that fixes it.  If not, we'll hire an electrician to address this.
Project Management Discussion moves to ACM
For the last year, conveners of Common House, Landscaping, Farmette, and Maintenance team have been meeting monthly(ish) to discuss work priorities and schedule work parties.  We now intend to move this discussion to ACMs so everyone can participate.  March 23rd will be the first ACM where we address this topic.  All conveners should come with work priorities for the next 3 months so we can schedule dates.  Need to be cognizant of other events (e.g. Fundraising, etc) as we schedule this.  
Maintenance work party priorities for coming months: 
  • Gutter Cleaning: Proposed dates June 14-15 or 7-8 
  • Drain cleaning:  Date TBD.  We cleaned most drains in 2023 but weren't able to get to the drains in the northern most parts of the property.  Vinnie recommends scoping the drains since he saw evidence of damage in 2023.  Cheryl to connect with Vinnie to schedule a tutorial on how to use the drain scope purchased by maintenance team in 2023 for this purpose.
