All-Community Meeting, Wednesday, May 11, 2022

Decision: Emily can go ahead with her first event. Have insurance/release etc. in place for next time.

Business Events on Community Property
Mike reviewed minutes on this topic from earlier meeting.
Emilie plans to prep and clean up whatever area she will be using.
We have turned down some requests for donation-suggested events. Want to be fair to everyone. It
helps with trust when someone is active in the community and has shown good faith in hearing different
viewpoints and following up on things.
Co-insurance that releases the community from liability would help.
Emilie will send a copy of the release she has prepared to Management for review. She is setting up an
LLC and will be getting liability insurance. Scott pointed out she can get liability without an LLC.
Ben called Vial Fotheringham (law firm who helped with CC&R) to consult. Lawyer said we can charge
for events or guest rooms etc., rather than just suggest donations, although it may affect taxes. They
could draft an agreement that an entity using our property would indemnify the community and that we
would be a covered party under their insurance. The clients/class attendees would not be required to
sign a release. The entity insurance company would probably want to review the agreement.
Ben will convene an ad hoc committee to get paperwork in order.
Want documentation that the community has agreed to the use. If it has been discussed in ACMs, like
this time, a release form signed by the WCCA president could do in lieu of a formal proposal.
Having a formal process for similar requests makes it easier for someone who wants to host an event.
Especially if advertised, it’s important that any event/business aligns with the community’s values, e.g.,
no white supremacy rallies. OTOH the community isn’t hosting the event. Residents’ brands can be
different than the community’s brand.
Emilie plans to provide the address only to people who sign up. Her ads say, in Glendale. The
reservation page does say Wasatch Commons.
For the classes she needs to put a cap on attendance, but for some parts of an event anybody would be
welcome to show up, e.g., tree planting or firepit.
Emilie is hoping to do a tree planting each month. She has an idea for common cooking events where
we would learn about food ingredients etc. Emilie is a certified health coach and has associates with
similar skills.
Straw poll: Are people okay with this going ahead? No dissent.
Pay’r’Work
The pay’r’play system was agreed to many years ago but there are details we’ve never worked
out. Management decided that
- You have until the fifth of the month to report hours from the previous month.
- Work can’t be credited to a previous month.
- If you are moving out, the hours/payment is prorated.
You can always come talk to us if there is an issue. Please do it ahead of time rather than afterward.
Committee Reports
Landscape. Looking at revising adopt-a-spot and getting it more active. Emilie will be drafting some
guidelines on fire safety and sending them to Management. Looking for a flood company to give us an
assessment. Irrigation committee will be meeting; talk to Emilie if you are interested in joining.
Will be getting wood chips from tree work being done. Emilie has been putting in chip drop requests
but hasn’t had a response.
Phase II of treework. Will be working on trees along south tomorrow. Crane will be in east parking
lot. Cars needs to be out of east parking lot by 7:00 a.m. One resident is out of town and Alex is trying
to arrange for someone who has a key to move the vehicle.
Water in the north field and east garden is turned on.
Management will be asking for discussions to be scheduled for discussion of what counts as community
work. There is a list of work on the website (landing page?).
Maintenance. Trying to get estimates for painting and stucco work. Some warrantee work from fascias
peeling. For future jobs may request longer warrantee, to get better grade of paint.
Will be scheduling work parties to clean under-deck membrane. When redoing decking, look at
membrane (roof) to make sure it isn’t compromised. The roofing company looked at Prices’ when they
had the wood off. Replacing the membrane is expensive, so we’d rather not if it is viable.
Safety and Security. Before using firepit, please make sure area around firepit is completely weed-
whacked or mowed, and have a hose handy.
North field. Would like to schedule work parties.
Announcements
Lawn mowing. Mike may occasionally request someone to fill in for him mowing the lawn. Before using the mower, get training from someone who knows how to use it. Not difficult, but the mower does need some care: charging, cleaning out the grass clippings so they don’t solidify or mold, etc.
Some areas haven’t been mowed because there are a lot of sticks and twigs in the grass. It would help if people will clean those up so mowing can be done.
