Maintenance Minutes : February 13, 2023
Attending: Vinnie, Cheryl, Kerry, Alex, Kellie, Scott, Coleen, Kay, Mary, Jorge
Topic 1: Procedure to follow when Maintenance Committee's actions cross over into another committee's domain.
- Vinnie: Agree to communicate to other committee members if we see something in that we intend to move as part of a maintenance activity
- Alex: Bottles of cleaning solution and other flammable/toxic fluids in utility room by furnace. What to do with that.
- Vinnie: If anybody has questions about how to handle, text picture of questionable item(s) to Vinnie. He'll communicate out to community.
- Alex: Do we need a labeling system for placement of various items (rags, soaps, cleaning solutions, etc. things that are communally used). Would help cleanup efforts if people knew where to consistently put things.
Topic 2: Common House furnace: initial troubleshooting update + next steps
- Vinnie: Furnace is flashing error code 31 – according to user manual could be one of 6 things. Vinnie thinks repair could potentially be more than $500.
- Scott: David @ Absolute Heating & Air, who fixed gas fireplace in CH, will likely be able to give you a charge estimate based on the code itself.
- Next steps: Vinnie to call David to see if he can provide estimate based on error code
Topic 3: Observations from deck/railing inspection - next steps
- Kellie: Roof doctor will not address stucco issue, but will seal the stucco crack and the hole where the railing is pulling away from the building. This will stop the water damage to Unit 2.
- Vinnie will show Coleen where the stucco crack is adjacent to Unit 24’s deck.
**The deck/railing inspection really brought to light how many stucco issues we have; we need to address this to prevent any further damage occurring to any units.
- Action item: When it warms up a bit (early March?), we’ll be developing a team and a strategy to assess stucco issues around WaCoHo, develop rating/priority system to repair them.
Topic 4: Do we have records of past repairs/maintenance? Where?
- Many records of repairs and maintenance will exist only in emails (googlegroup and WaCoHo’s gmail account), Kay was collecting some from an archive, Linda R’s bookkeeping historical records may also be a good way to research what’s been done and when.
Topic 5: "Wasatch Commons Maintenance/Repair Request" google form
- Coleen and Alex will take the lead on creating a form that can be accessed as a link from our google sites page that will allow folks to easily report repair/maintenance issues around the community. Vinnie, Coleen, and Alex to define categories (e.g. HVAC, Stucco, plumbing, etc) to choose from on the form. Having this in a drop list will allow for reporting, trend analysis, etc.
- Coleen and Alex to have something to present at next ACM Sunday Feb 26
Topic 6: Review and update Maintenance Tracker
- High fives all around for things that got done over the last 2 weeks
- Vinnie replaced the faucet in the CH kitchen
- Alex and Kerry cleared out utility room in CH and removed fire hazards
- Kellie, Vinnie, and Cheryl completed deck inspection and are moving forward with repairing issue reported on Unit 1
- Action items for the next month-ish
- Kellie to start cleaning CH dryer vents every 2-4 weeks
- Vinnie to investigate screeching dryer in CH – belt issue?
- Cheryl to continue to build out “Maintenance Tracker” so we know what’s been done when, allowing us to prioritize going forward.
- Coleen and Kerry to develop master plan to ensure we have keys for all units in lockbox
- Vinnie to replace water filter that leads to dish sanitizer in CH
