Maintenance Minutes : January 31, 2023

Means of communication:
- I'm going to try to create a "google group" specific to the committee but need someone to help
- A text thread will be created to faciliate more immediate communication between committee members
- Other apps like WhatsApp or Slack are also being considered

Some members of team may specialize more in project management while others may be more interested in just "doing" and less interested in the administrative/project management aspect.  For now it makes sense for us all to meet as a consolidated group.  We'll see what works best over time.

Cheryl showed the "Maintenance Tracker" which is something we started building out in Management last year, but now should be further developed/owned by Maintenance Committee.  
Goal of Maintenance Tracker:
- Identify all tasks that should be done in each unit, the CH, grounds, or Workshop. Define recommended frequency of each task.  E.g. under deck roof cleaning annually; gutters semi annually.
- Log last date completed for each task; enabling us to prioritize what needs to be done when
- Track "one-off" tasks needing to be completed, e.g. replace faucet, install water filter in CH, 

Maintenance Committee meeting schedule going forward: 2nd and 4th Tuesday at 6:30 pm in Common House

Priorities:
1. Kellie and Cheryl to do inspection of decks/railing to see if any other decks appear to have same issue that caused water damage in Kellie's unit.  Once we identify all decks with issues, we will call Roof Doctor to fix deck above Kellie's house and all other affected units.
2. Alex and Kerry to check pantry off of CH laundry room to ensure that no flammable chemicals/materials are close to water heater
3. Vinnie to replace the water filter that feeds water into dishwasher. Right now there's just a casing there with no filter.  This is allowing hard water to get into dishwasher; thus scale is accumulating on heating element.
4. Vinnie to research what products can be used to de-scale.  Need to do a scheduled treatment of dishwasher to ensure that this level of buildup does not happen again.
5. Vinnie to replace faucet in CH sink.
6. Scott and Jorge to look at repairing gutter downspout leaks reported at Laraine's, Emilies, and CH
7. In early Feb we will look at the dumpster enclosures.  Replace wood as needed and apply linseed oil.  
8. Team to continue building out the "Maintenance Tracker"; develop plan to keep it up to date.
9. Team to create an inventory list of tools we'll need to use (e.g. shop vac, pressure washers, etc), condition of each
10. Team to create an inventory of things that we should maintain a supply of, e.g. different types of light bulbs in CH.

Big outstanding question:  What is the best way to handle expenses associated with products needed to maintain WaCoHo. I think we'll want to discuss this at the next Management meeting next Tuesday.
