5/24/26 Stucco repair of units 22/24/26/ch dryer/ fascia and caulking roof inspection/ Maintenance documentation

Stucco repair of units 22/24/26
Unit 22/24/26 (bldg J per the site map) stucco repair is underway (TJ Construction). At the "control joints" (ie lines of different squares of stucco) on the wall there was some separation from water damage. where the stucco was installed improperly. There was, however, some added cost (likely in the 100- 1,000 range) because TJ did not anticipate the cement board layer, and they will have to do more "chipping" down to the base layer than anticipated. Some confusion initially as TJ construction originally just put another layer on top of the faulty stucco, however, Coleman spoke with them and they agreed to scrape everything off, then start with a cement layer. But good news, TJ said when they went cut down to the OSP panels they did not find any rot (!!).
Next steps? Ask TJ what buildings should be prioritized next.
CH Dryer:
The white (oldest dryer) in the CH is dead. Kellie is offering her dryer, which is old but functional.
Action items: Kellie and Cheryl will measure Kellie's dryer and make sure it's compatible
Kellie will put something out on discord to get help moving and installing it
Kellie will get with Thomas D and find a time to clean the dryer vents (may do in tandem with "new" dryer installation)
(Update after meeting: Thomas D was able to repair the belt and the ch dryer is functional again!)
Linseed oil
Need to start linseed oil maintenance of beams throughout the community.

Carport lights:
Joe bought some carport lights, Joe installed them on the west side but doesn't want to do the east side bulbs. Cheryl has the carport bulbs, will bring it to the workshop and label them.

Roof and fascia inspection:
Per last meeting's discussion,Cheryl reached out to Chris with Roof Doctor to evaluate fascia and give recommendations on which pieces need aluminum replacement and which can be painted. We will also ask Roof Doctor to caulk around swamp coolers and decks, and give their evalutation as to what we can diy.
Some concerns raised by one resident about the quality of Roof Doctor's work, including caulking around a swamp cooler and possible premature deterioration of shingles. Maintenance has had this evaluated and feel the work is quality. Residents are welcome to join maintenance and work through the process of vendor selection if they have a problem, but the committee is not convinced the work is subpar.
Tim with Top Dog said the fascia needs to be repainted every five years. Some portions have wood rot and need to be replaced with bent aluminum, others can just be repainted. Roof doctor will do an evaluation of the property (re fascia and caulking around roofs and decks, what we can diy vs what we can hire out)on June 4th at 9am and decide repair vs replace. After the evaluation and estimate we will know how much of the fascia we can repair/replace this year. We will ask Chris if they can do painting as well, since it would be easier to have a painter be part of their crew while they're repairing fascia, than having to have a painter come out separately and have to keep track of which individual pieces of fascia need to be repainted.
Unit 19 drainage
Cherly is trying to get companies to call her back. Once she schedules a walkthrough, will pass off project to Laraine.
Maintenance Documentation
Cheryl went to a presentation about insurance/legislation/liability regarding maintenance for HOA's. Recent legislation has increased the requirement for documentation that anyone (for example, a realtor for a prospective resident) can ask for at anytime. Cheryl will give an educational presentation at a future ACM.
Under deck cleaning
There are 13 decks in the community, and this is the time of year where a few deck boards need to be removed to clean debris underneath. Wasp spray
Maintenance estimates it takes a team of 2-3 people up to 3 hours of time, but this can vary greatly depending on how difficult the screws are to remove. It is faster in hot and dry weather, as the debris can be blown off easily. There are a few decks (possibly just Emily and Michael's (25) and Scott and Marina's (21) have plastic decking (trex) and are tricky to remove.
Coordinating this cleaning is always tricky, but it's important. Kellie will start coordinating.
Action Item: Kellie will compile a team to do one deck and return and report.

Drainage
Need to schedule a drain cleaning party in the late summer/early fall when the water table is low. Some discussion of how often we need to clean the drains and problems to look out for. Should we schedule an evaluation of drains with an expert to make sure everything is in good working order? Can also ask for advice from landscaping companies that come to evaluate drainage.
Action item: Cheryl will look into getting drainage system evaluated
