1/11/26: furnace replacment, ceiling fans, carport lights, proactive maintenance,
Action Items
Coleman: Bid request submitted to Granularity (Coleman's company) for three ceiling fan replacements (will also pursue other bids once we have estimates to go off of)
Kellie: Will ask KJ if she can look at the workshop furnace filter, confirm where it's at, and take picture of filter for replacement.
Cheryl will talk to management about installing 3 ceiling fans
Coleman will do some troubleshooting for the tall black lights that are not working. He recommends we replace the bulbs in the east and west carport lights to fix the dimness issue.
Kellie will start a group text with KJ, Laraine, and Cheryl to see if they can pick up the project at this point.
Michael A: will continue to work on ACM presentation, will use his own unit as reference.

Furnace:
3 Common House furnaces, need to replace the two on the ground floor. Management approved True Pros replacement of two-stage furnaces, estimate of $15k. This includes a service contract, they should also be quieter and more efficient. Cheryl will be the contact person for this job. (all hail cheryl for the extensive research, walk throughs, and general labor she has put into getting this replacement to the finish line).
There is still a possibility we can choose to upgrade this unit to a heat pump at a later date, we would have to add coils, etc. The HVAC guys said it would be more efficient to have a heat pump do the cooling only and have a gas furnace do the heating.
Ceiling Fans
Kerry recommended we install a ceiling fan in the upstairs bedroom. There is also electrical in place for two ceiling fans to be run in the dining hall of the common house to keep it cool. There may have been an intent to install automatic window openers to make it easier to open the windows in the clerestory to allow air circulation. The team also checked the UBR and found there was already close electrical wiring for the light that will allow easy installation of the fan. Ceiling is quite low in that room, discussed potential for covered fan (example in Lynda A's unit)
Cheryl will talk to management about installing 3 ceiling fans
Action Items:Let coleman know we'd like to submit a bid to Granularity to add three ceiling fans. Will also submit other bids.
West side carport Lights
Tall black lights are having flickering/dimness issues.
Coleman will do some troubleshooting for the tall black lights that are not working. He recommends we replace the bulbs in the east and west carport lights to fix the dimness issue.
Units 1& 2
Unit 2 will be done 1/12 (!!!). Waiting on the storm door, which is custom made, to be finished for unit 1 (estimate 6-8 weeks for installation).
Walkway leveling:
Top Dog split the into three phases. Goal is to start phase 1 in 2026, which is the pathway in front of the common house and moves northwest ($5k).
Proactive Maintenance/ ACM presentation
Michael A submitted a topic request to talk about preventative maintenance.
What should we talk about? Deck cleaning? Maybe something timely especially given the recent water damage issues, could we demonstrate what to look for in terms of areas around windows and doors that need to be re-caulked.
Keep an eye on deck wall caps, need pics of water damaged dry way..
Can also put out an effort to show people how to replace the furnace and fridge filters in the ch, and the dryer vents.
Put in a previous request for a bid to Granularity. for community-wide caulking around windows and doors just to understand next steps, that came in around 10-15k. Still looking for other bids, and checking for companies that potentially specialize in this.
Stucco painting: Coleman still working on getting people out here
Unit 19 drainage
Cheryl has contacts with landscaping companies to do unit 19 drainage, she just needs to make calls. Some question as to whethere someone could take on drainage.
Action Item: Kellie will start a group text with KJ, Laraine, and Cheryl to see if they can pick up the project at this point.
Window/ glazing beads:
HOA responsibility is exterior caulking and frames of all windows. Is glazing bead HOA or homeowner responsibility? Seems it's part of the frame itself. Coleman did reach out to get a bulk price on glazing beads.
Workshop furnace
Michael couldn't find any furnace filters in the workshop. The only furnace filters we're aware of are in the small spring loaded door.
Where is the workshop furnace filter? Possibly on the garage side, hatch in the ceiling. Previous notes indicated that workshop filter is 25" x12", need to confirm. No record of filter being replaced since 2023.
