10/13/2026 Joint Maintenance/Landscaping meeting
Present: Cheryl, Michael, Starla, Coleman, Lila, Christy (note taker)
Maintenance
- Vendor work:
- Stucco status
- work is weather dependent, but plan to start on 10/26 for unit #3 - will take about 2 days, then move to CH
- Spots on unit #17 that need inspection/repair
- Superior Gutters has a new owner (Austin) - old owners not responsive in 2026; new owner (Austin) very communicative
- Austin says we should have gutter guards (we were told not to by last owner); will talk more when he comes on site
- Electric Drain inspection / hydrojet cleaning postponed due to Unit #3 real estate listing- Cheryl talk with Amy about when it can happen
- CH Hobart repair
- Service call is $500
- Cost to replace?
- Refurbished one to replace?
- If we can't repair, do we have to have a commercial dishwasher or can we replace with residential for less money?
- Starla will investigate these questions
- Wastewater drain inspection/cleaning wait until 2027 to do when we money in budget
- Parking Lot Crack Sealing
- 2 bids, 3rd company only works in during the summer
- will need to coordinate moving cars out of the parking lots - with paper and electronic notifications
- need management approval to pursue, then Michael will schedule a date
- Updated bid/feedback re: walkway leveling
- Top Dog bid - would only level sunken bricks - $15,000 - unclear how not creating more/other hazards
- Bid for whole walkway - $35,000
- could break up over 3-4 years with lowest traffic areas last
- should not have to do this again because most settling should have occurred already
- Coleman will call for another bid
- Top Dog bid - would only level sunken bricks - $15,000 - unclear how not creating more/other hazards
- Review Vertex roofing feedback
- estimated most roofs have 8-12 years left
- Many swamp coolers do not have an overflow water hose attached and running to the gutter to avoid any excessive overflow of water damage on the roof/shingles - owners are responsible for this either themselves or whomever services the swamp cooler in the spring; bring hose in when winterizing
- Some swamp coolers have tar around the legs for protection on entry points, preventing wood rot to the OSB beneath the shingles. Others have none - who fixes this? CC& Rs call out holes in roof by solar panels as owner's responsibility and everything else is HOA responsibility, but does that include this?
- Discussion of who is responsible and how to enforce if it's owners, problems if it doesn't get done
- Stucco status
- DIY projects:
- Common House doors/locks - for bathroom/bedroom - Coleman can do or ask Thomas if he can take on
- Common House kitchen faucet + reconfigure shelves: Winter project - Coleman can do or ask Thomas if he can take on
- Common House laundry room faucet is very leaky. We have budget $$ to get a new one and replace it.
- Cheryl will order
- Need volunteer to replace
- Deck cleaning
- Unit #1 remains to be done, wait until new tenant is in
- Linseed oil application
- CH is done
- All but Unit 6 still need to be done
- Post on Discord that dry weather is coming Thurs-Sunday
- Need to remove steel wool in Starla, Kerry and Lynda's unit
- Gutter cleaning - cleaning party after the leaves have fallen
- Cost savings vs risk matrix: How much DIY stuff can we do safely. (Brief introduction of this idea)
Maintenancey but also Landscapey stuff
- Bids for Unit 19 grading/drainage
- Landform - NE & NW corners of house build french drains
- Finegrade -NE & NW corners of house build french drains, plus a pop up; also bringing in soil to the north of the patio
- Christy suggests not adding soil but using wood chips to help water infiltration, prevent erosion, keep dust down
- Tree and fence issue on north side of property; getting bids for survey
- property line is unclear
- Cheryl is working on bids for survey
- connect with neighbors on other side of fence to see if they want to share of cost
- Laraine knows many of the neighbors and can help with communication
- property line is unclear
- Previously buried/hidden manholes in front of Unit 16 (Lynda) and Unit 3 (Amy/Chelsea)
- used metal detector to locate 2 manholes, one has been oncovered
- how to keep them clear in the future - winter project
- cleaning bid has been excepted for 2026
- need to determine when Unit 3 manhole can be located
Landscaping / Tree Pruning / @Farmette
- Tree Pruning work party post-mortem:
- Do we need more tools - loppers
- Thoughts?
- Should we budget to rent wood chipper multiple times next year? Monthly?
- Kellie thinks it's too expensive
- What about renting a trailer?
- @Christy C 's convo w/ Andonis: What they got done, what's left, what to anticipate next visit - need some more short work parties for north side
- Does Farmette need help prepping for winter? Do we need a work party?
- How do we map/track trees that need supplemental winter watering. How do we organize this?
- @Kellie H will donate 3 filbert shrubs if we decide where we want them
- Potential ACM topic - Can we have a larger community conversation about our landscaped spaces - native plants, food producing, places for people
LAST BUT NOT LEAST: Cheryl is working on mid-cycle reserve analysis revisions - Christy, Coleman, Michael, and Kellie will be needed for feedback - one group meeting for folks to give input before the end of the year
