Management minutes Jan 17, 2023

Topics:  website, elect officers, updating management members with state and banks, cohousing partnership, leak unit 2, meeting schedule, garden water

Decisions: Cheryl to be President, Jorge Treasurer, Kay Secretary.  Meet  first and third Tuesdays at 6:30.  Garden water is a  community-level decision, not Management's.

Tuesday January 17, 2023, 6:00-8:00 p.m., in person and online.

Present: Scott, Kay (notes), Ben, Jorge, Cheryl, Coleen, Vicky 7:45

Action Items

  • Cheryl will check with Linda that she has implemented increases in monthly autopay fees.
  • Cheryl will pay snow-plow and set up auto-pay using wasatchcommons@gmail.com.
  • Cheryl will give Jorge the Spark card.
  • Cheryl will email Joe telling him garden water is a community decision and needs to be discussed at an ACM.
  • Ben will update the auto deposit to the reserve.
  • Ben removed himself and added Jorge to the management google groups.  Cheryl and Kay are owners.  Might swap Cheryl as owner for Coleen.
  • Vicky will watch for invoice from Cohousing USA and get it to Cheryl/Jorge for payment.
  • Vicky will request time on ACM to describe partner benefits and institute log-in.
  • Coleen will update the Management members and officers on Department of Commerce and HOA Registry.
  • Jorge will talk to Joe about taxes.
  • Scott will ask for time on ACM agenda to do a presentation on the large-spend process.
  • Kay will ask Kellie for a picture of her railing/stucco issue, inspect #11's railing, and request other deck owners to look at theirs.

Website

Beth has created webpages wasatchcommons.com, pulling material from the site Kay did years ago, wasatchcommonscohousing.org.  Beth would be interested in putting her site on wasatchcommons.org;  Kay owns the URL  but never got the wccohousing site moved over to that name. There's an old website through the university econ website; we might ask Hans to take it down.

Welcome New Member

Reviewed duties of Management in CCR. Explain to Jorge what Management does.  Fiduciary, pay the bills.  Trying to hand off maintenance. We welcome ideas for process improvement.  We don't have the power that the board does in a "normal" condo; many decisions go to the full community.

Officer Elections

  • Cheryl to be President
  • Jorge to be Treasurer
  • Kay to be Secretary

Reviewed Management transition procedures.

We should have the books audited.  This is NOT a reflection on our confidence in Linda's work, just Best Practice. Linda has said this is her last year doing it, so we will need to find someone, probably hire, and have them work with Linda for a few months.

Create an inventory on the wiki.  This is something we could delegate to the Project Management Committee if/when Ben's proposal passes and PJ committee gets set up.

The Management folder on the wiki is accessible only by people tagged as management. Items other people need to see should be put elsewhere.

Partnership

Vicky wants to be sure the cohousing partnership gets paid.  The contact is Laurie Lauer.  Cohousing USA started something called the Cohousing Institute, which is how we will access the videos they do. Every resident can have their own log-in.  It is intended to be a spot where all communities that are partners can interact and share information.

Schedule

Tuesday is fine for Jorge but later will be better. Meet first and third Tuesday at 6:30, try to keep meetings to ninety minutes.

Leak

Roof Doctor will fix Kellie's roof.  Roof Doctor sent us a description of what they will be doing, but it needs to be dry. The railing has come out of stucco on the deck.  Kay thinks her unit has the same issue. Roof Doctor has a minimum charge per visit, better if we can have them as much work per trip as we can.  Ask Kellie to take a picture and send it to us for distribution asking everyone with a deck to check their units.

Water

Charging gardeners for water is a change in process, and would need to be approved by the community.
