Management Meeting, May 20, 2025
In attendance: Michael, Ben, Cheryl, Jorge, Kerry (after first agenda item) 

Review of feedback from Tim Ashman (General Contractor) on Units 1&2
- After demo, Coleman and Eric / Granularity Inc feel damage not as bad as some had feared, and that Roof Doctor membrane seems to be working so far, and repair will be mostly 
- During Wednesday visit from Tim Ashman, slightly different interpretation of the source of problem was offered, and would like more drywall demo to reveal more of the back corner of unit 
- Tim noticed vertical crack in stucco along rear of unit, and noticed gap at attempted repair of railing attachment, suggests both have to do with settling, but that this isn’t a huge deal 
Management unanimously approves additional drywall demolition to continue diagnosis
- Ben suggests getting an additional bid on drywall repair when time comes to patch and paint interior 
- Cheryl feels a lot of focus will be on door jamb leaking above unit #1 

Management needs to provide Kellie with info needed to complete FHA paperwork (by 5/31/25)
- Needs insurance information and documents to complete the application; Ben will coordinate with Kellie on this 
Aside: Ben notes that the engineer who looked at unit 19 anchor bolts in the fall will need an additional payment of $500 because we requested a report in writing
Summary of stucco painting discussion with Tim Ashman

- Estimate for stucco patching, crack sealing, and painting, which was $169k for acrylic paint (which would require repainting every 10-15 years); elastomeric paint is $187k (which would require repainting every 20-25 years) 
- Does not include clearing of plants and ivy from stucco surfaces
- Does include pressure wash on surfaces with ivy, but may not entirely remove 
- Other elements included in bid that community can probably handle:
o Metal railings
o Staining of beams and columns 
o Painting front entry doors
- $23k to trim trees and clear plants 
- 12% additional cost to divide the project over two years 
- 18% additional cost to divide the project over three years 
- Ben and Michael suggest that substituting upper-level corner window trim for other bid elements would be higher priority
- Cheryl suggests Tim Ashman also seemed to be a good resource to advise on maintenance decisions, and could provide consulting to us 
Management vacancy

- Stephen Smart has been the only candidate discussed so far 
- Bookkeeper (Rachel) has made the burden of serving as Treasurer lighter, which will make management lower stress 
- Jorge thinks his total work per month as Treasurer is 10-15 hours/month, partly due to Quickbooks learning curve 
- Bank accounts still need to be relinked to Quickbooks 
- Jorge will need to be removed from all the accounts; Ben and Cheryl are currently signatories on the accounts; a visit to a bank branch will be necessary to add a new Treasurer 


Amended 2023 tax return will be necessary due to tax on interest income
- Jorge suggests hiring bookkeeper Rachel Ward and her father Randy Rawlings prepare this revised 2023 return for federal and Utah taxes 

ACTION: Management unanimously approves hiring them to do this revised 2023 return, and to consider them for future returns in future years 


Status of replacement insurance search
- Jorge received a mailer that may be another option for us, The Leavitt Agency, who Ben will contact 
- Ben has found that insurance underwriter at Travelers Insurance has been giving feedback and been difficult, ultimately denying our application 
- The next step is to look into other insurers; Auto Owners will be the next option pursued by Star Morgan at Beehive Insurance 
- Ben will reengage American Family as well 


Sale of Unit 7
- Realtor visited today to get a sense of WaCoHo and the unit; will be on MLS tomorrow; first open house happening on Saturday, 11am–1pm 


Future HVAC system for Common House
- Jorge has quotes from electric company to install 220v new lines for furnace as well as to switch dryers from gas to electric 
- Ben suggests also switching to a heat pump water heater, which would require an additional 220v line 
- To replace furnace and install heat pump for children’s area the quote from At Your Service is $14k; additional $14k for doing the same for the other furnace 
- Jorge will ask for a revised quote to add three additional lines and air conditioning rather than heat pumps 
- Air conditioning may ultimately be less expensive because HOAs don’t have access to rebates 
- Another meeting will be necessary in order to decide on the next steps once three quotes have come in (At Your Service, Blue Best, Design Comfort) 


For future discussion: Additional costs in excess of budget for Farmette; Management suggests that Farmette representative should attend Management meeting to formally request 


Next ACM moved to 6/1/25 due to Memorial Day holiday
