Management Minutes, 04-28-2026

Management Meeting, April 28, 2026
In attendance: Michael, Cheryl, Ben, Kerry, Sarah

Unit 20 vent
-    Ben has called the weatherization folks and asked for more information
-    Ben is concerned that another hole will make things more complicated and increase risk, and would also like to know if there is a redundant vent hole in the roof, and if so, we could eliminate it
-    Cheryl is going to try to get in touch with weatherization folks to get more information before approving 

Bookkeeping / Steady Co reports 
-    Cheryl wonders if because there is only a meeting every 90 days, that a detailed report will only arrive on that timeline
-    Ben assumes we will only get Quickbooks reports rather than formatted reports as Steady Co was previously providing through Double HQ portal
-    Budget versus actuals, balance sheet, and profit and loss statements are expected every month and Ben suggests asking Gesele whether those reports are within her scope
-    Ben and Cheryl would like to clarify what exactly is going to be included in our service from now on
-    Kerry states that we need to agree to having a 90-day / quarterly review, which is an additional $75 per quarter
-    Cheryl asks where financial statements should be posted; Ben and Kerry agree that posting to Wiki and posting a link to Discord seems sufficient

6-month CDs 
-    Cheryl proposes that reserve account funds could be placed in staggered 6-month CDs with these funds, as was begun under Jorge
-    Ben reports that rates at Ramp are 2%, and investment / money market accounts are 4%, which is the same as Canyon View Credit Union CDs
-    Benefit of moving to Ramp would be not tying down funds in CDs but having quicker access to funds
-    Conclusion is to hold off for now; Ben will look into transferring process for Ramp

HOA webinar 
-    Cheryl and Kerry attended an hour-long webinar with Utah’s HOA Ombudsman and suggest all management members should watch this
-    Specific topics include transfer fees versus reinvestment fees and Ordinance and Law insurance coverage
Management in consensus to watch this webinar during meeting Tuesday, May 5

Insurance status 
-    Ordinance and Law coverage still undergoing underwriting, but expect to hear back between 4/28 and 5/1; and we will find out what the price 
-    Ben also asked about online access, and he is able to access the account via his personal State Farm account, but isn’t able to open policy documents

2026 maintenance projects 
-    Fascia: inspect condition throughout community
o    Determine which sections require repair/replacement vs. bent aluminum covering vs. paint
o    Cheryl proposes having Roof Doctor do an assessment of fascia as well as holes in roofs such as swamp cooler mounts; Management members in agreement that a quote is appropriate
-    Stucco repair on Building J 
o    At the next Management meeting we need to review the bid that is in the stucco-specific thread of the maintenance channel 
o    Due to the variation in quotes and opinions on stucco acquired over the past 2+ years, it seems unlikely that other vendors would be willing to provide competing bids on this exact scope of work
o    This will be a “trial run” for TJ Construction of their stucco expertise
Management is in consensus to move forward with the bid of $5750 for repairing stucco surfaces on Building J
-    Walkway leveling
o    At the very least Cheryl thinks we need to level the pavers leading into the common house and the bricks/pavers in front of Building A
o    Top Dog Construction has bid about $5000 for each of three sections of pavers
Management is in consensus to move forward with Top Dog Construction on phase one of paver walkway leveling
-    Cheryl will research/resolve drainage issues, contacting landscape companies, around unit 19 aka Building H 
-    Michael will reinitiate contact with asphalt vendors for parking lot crack fill 
-    Do we want to move forward with CH ceiling fans?
o    Ben would like to confirm the model number of fans before moving forward

March water bill 
-    Usage in March was as high as summer months of last year according to bill
-    Landscape (Kay, Kellie, Christy) had been testing systems and didn’t find leaks
-    Christy has found water on overnight a few times, and this could potentially account for the increased usage 
-    Ben recalls that Scott has read the water meter by adjacent property used by Mary, but we will need a previous reading in order to total up usage and bill for it 
-    Cheryl will keep an eye on this going forward and will reach out to Scott about the situation
-    Ben proposes that this water meter should be capped rather than maintaining this arrangement with future property owners/managers, suggests that consulting a lawyer may be necessary

Wiki deletions 
-    Cheryl has found some old and outdated documents on the Wiki, and wonders if it is possible to delete some documents
-    Cheryl will archive instead and delete from these repositories 

Pay or play
-    Kerry asks if she should send out a remind on 4/30 and then on 5/5 that pay or play will be totaled and accounted; all agree that reminders are needed
-    Sarah will check in with unit 6 about three adult residents requiring six hours per month 
-    Ben will speak to Laraine and Lynda about speaking to Asia regarding pay or play obligations as an adult resident

CH dishwasher/sanitizer
-    KJ found that the red detergent is empty, and Kerry will get some from restaurant supply; Kerry will need someone else to actually install/load to the appliance
