Management Meeting, August 4, 2026
In attendance: Michael, Ben, Kerry, Cheryl, Sarah
Landlord insurance
- Ben’s insurance agent told him he wouldn’t need special insurance, but Cheryl’s said that a non-owner-occupied unit would have its claims denied without an additional policy
- Members are unsure whether the landlord insurance would have a policy labeled HO6, or another term
- Management will request proof of insurance (declaration page of condominium insurance) and have unit owners and tenants sign the Lease Addendum
- Kerry will write to owners of unit 1 and 6 about this via tickets on Discord
- Tenant-occupied-condo/landlord policy rather than HO6
Lease Addendum
- Members reviewed draft Lease Addendum for landlords and tenants, made a few suggestions for revisions
- Changed “required” to “expected” in most uses throughout document
- Changed ACM attendance expectation from 1 meeting a month to 50% of meetings over the course of a year
- Discussed “softening” statements regarding Pay or Play, renter’s insurance, and Common House cleaning teams
- Statements regarding “exercising rights and remedies of the Landlord” and “duties, responsibilities, or liabilities” were a sticking point, but uncertainty was resolved with minor revision
- Ben will revise document and finalized document will be added to the Wiki
Secure Storage
- Kerry proposes that Management should have a secure storage location for things like mortgage holder information and other documents
- Cheryl echoes this proposal and suggests that secure Google Drive storage should also be considered, even if payment is required
Stucco Project
Members in consensus to move forward with TJ Construction on next phase (Building M) and will approve next phase (Building N) later on
Fence Issue North of Farmette
- Abby posted a message about a neighbor, Sheri, about a new fence that is being obstructed by trees on our property
- Sheri plans to attend potluck on Sunday, 8/9 to discuss, and if management members are in attendance they will plan to discuss with Sheri
Management in consensus to prioritize replacing the faucet in Common House kitchen next to dish sanitizer
Tasks
- Ben will look into opening CDs with reserve account
- Cheryl will review Reserve Analysis and project out expenses for 2027 budget
- Members will start “Redlining” CC&Rs in preparation for revisions with lawyer in 2027—Ben recommends budgeting $2-3000
- Cheryl and Kerry will meet to reconcile bookkeeping allocations
